Therapy Terms & Conditions

Initial discussion

Prior to any service we provide, an initial discussion to ensure a clear understanding of the nature of services we provide will be held over a video call. The initial discussion lasts for 45 minutes and provides an opportunity for parent’s concerns, information and expectations to be shared with us.  We’ll always do our best to fulfil your needs and meet your expectations, but it’s important to complete formalities so that we both know what’s what, who should do what and when, and what will happen if something goes wrong. Before starting any work we will provide you with information about our terms and conditions. The information we provide you with will include costings, services we will provide you with, how you can pay, when you should pay, and what happens if either of us cancel any work. As a service, we work inline with the RCI (Rehabilitation Council of India) standards of conduct, performance and ethics. We believe successful outcomes depends on the understanding, cooperation and adhering to certain rules by parents and therapists. We request you to carefully read our terms and conditions.

Therapy Package:

Subodha offers different service/therapy packages. A therapy package is a number of appointments agreed between the therapist and the client, subject to therapy Fees. Once a Therapy Package has been agreed upon, the Therapist will provide written confirmation of the Therapy Package’s corresponding Appointments. 

Therapy Fees:

 The total costs payable in relation to a Therapy Package. Our office hours are 9 AM to 7 PM on Mon-Fri and from 9 AM to 5 PM on Saturdays. We have different rates for outside office hours and for families living outside of India.

Payment:

Subodha will invoice for services agreed and prepayment of fees is mandatory. We accept payment via online payment gateway. Payment is due at least 12 hours before the commencement of the sessions as per the therapy package chosen. For a repeat subscription of the therapy package, you will be billed in advance on a recurring basis based on the therapy package chosen. Subodha will automatically place that same order after you have exhausted a therapy package.

Consent:

Consent must be given by the child’s parent/carer before any intervention is provided by the therapist. A consent form will be provided by the therapist.

Cancelling/Rescheduling Appointments:

Appointments can only be cancelled / rescheduled by giving at least 24 hours’ notice. If Appointments cannot be met by the parent and at least 24 hours’ notice is not given, this will be classed as a Missed Appointment. The Therapist is not under any obligation to reschedule / replace a Missed Appointment or refund any Therapy Fees in relation to a Missed Appointment. In the unlikely event that the Therapist is forced to cancel / reschedule an Appointment, a replacement Appointment will be provided once an acceptable date has been agreed between the parent and the Therapist. No shows will not be accommodated and will be charged full fees.

We understand illness, medical appointments and other circumstances are genuine reasons for rescheduling or cancelling an appointment. A rare Emergency rescheduling can be accommodated only on the basis of the therapist’s availability. 

Refund/Termination of Therapy:

It is within the therapist’s rights to terminate therapy or intervention with a mandatory 2 weeks prior notice. It is within the rights of the client to terminate therapy or intervention with a mandatory 2 weeks prior notice.

Refunds:

If you are unhappy with our quality of service, we will refund you any outstanding therapy fees. Discounts (If Any) applied in the booking plan would be removed and all sessions conducted till the refund request will be treated at full rates.

Banking transaction charges would also be adjusted based on the payment gateway used.

Attendance:

We have an obligation to  keep the appointment time reserved for you and your child, so you must maintain attending the session on time. A good attendance record is important for our therapy techniques to be effective, maintain continuity as well as help your child and the therapist to build a great bond. We ask that you to maintain your scheduled appointments. Poor attendance will result in the rest of your appointments being cancelled indefinitely.

Can you revise these Terms and Conditions?

Terms and conditions are subject to change. Amendments to terms and conditions will be communicated to clients at the point of change. Agreement to these amendments is implied unless the client contacts to dispute the terms
